Miqnas

Privacy policy

Last updated: 9/16/2026

This Policy applies to the “Miqnas” Platform, its website miqnas.ai, and any related subdomains, public pages, applications, or services. It includes resume analysis services, professional profile creation, job applications, recruitment application management, access to the Talent Database, and services for companies and employers.

1. Who We Are

Miqnas is an AI-powered technology platform for recruitment and talent management. The Platform is operated by Miqnas for Technology and Artificial Intelligence Solutions W.L.L., a limited liability company registered in the State of Qatar, Commercial Registration No. 244614, with its address in Doha – Qatar.

For any privacy requests or legal inquiries, you may contact us at privacy@miqnas.ai or through the Company’s official postal address.

2. Miqnas’ Legal Roles in Data Processing

When a Job Seeker creates an account on their own, uploads their resume, creates a professional profile, enables visibility in the Talent Database, or submits corrections and comments on the analysis, Miqnas is usually the Data Controller in relation to this processing.

When a client company uploads candidate data or a resume inside its own account, the company is usually the Data Controller, and Miqnas acts as a Data Processor according to the company’s instructions, while Miqnas retains a limited independent role as Controller for the purposes of security, preventing misuse, compliance, billing, and operating the Platform.

When a Job Seeker applies for a job belonging to a company, the company receiving the application may become an independent Controller of the application data after receiving it, and the company’s processing is subject to its own policies and legal obligations.

3. Data We Collect

We may collect account data such as name, email address, phone number, encrypted password or access methods, language, country, city, gender, and account verification data.

We may collect resume and professional profile data such as experience, education, skills, certificates, languages, nationality, place of residence, residency status, professional licenses, work availability, career expectations, professional portfolio links, optional profile photo, and attachments uploaded by the user.

The Platform may create derived or analytical data such as a professional summary, extracted experience, suggested skills, suitability score for a specific job, resume quality notes, search and indexing data, and probabilistic assessments or indicators such as “Confirmed/Unconfirmed/Needs Review”.

We may process job application data such as the jobs you applied for, application status, messages or comments related to the application, and any files or answers submitted by the user.

We may process data of companies and their users such as company name, sector, authorized users, roles and permissions, published jobs, account settings, subscription and billing data, and usage records.

We may collect technical data such as IP address, device and browser type, session identifiers, login records, security events, pages used, cookies, and error and performance logs.

We may collect support and communication data such as messages sent to the support team, reports, complaints, privacy requests, and records of consents, refusals, and withdrawals.

4. Personal Data of a Special Nature

Miqnas does not ask users to provide personal data of a special nature unless it is legally or professionally necessary for a specific and legitimate purpose. A resume may sometimes include sensitive data that the user includes on their own initiative, such as health data, ethnic data, physical or psychological condition, or personal photos.

The user should not include unnecessary sensitive data in the resume or professional profile. Miqnas reserves the right to block, delete, or reduce the processing of any unnecessary sensitive data or data that violates the law or the Platform’s terms.

If a job or legal procedure requires the processing of sensitive data, such processing will be carried out only on an appropriate legal basis, with explicit consent when necessary, and subject to appropriate technical and organizational safeguards.

5. Purposes of Data Processing

We use the data to create and manage the account, enable the user to upload the resume, create the professional profile, analyze the resume, extract skills and experience, improve searchability, provide relevant jobs or candidates, and enable job applications.

We use the data to operate the Talent Database when it is optionally enabled by the Job Seeker, so that authorized companies may search professional profiles or view limited data in accordance with privacy settings and consent.

We use the data to provide companies with tools for managing jobs, applications, and search, to protect the separation between each company’s data, and to manage permissions and auditing.

We use the data to improve the accuracy of analysis and search within the Platform, including user corrections and comments, while preferring aggregation, anonymization, or separation from identity whenever appropriate.

We use the data for cybersecurity purposes, preventing fraud, misuse, unauthorized access, investigating reports, compliance with regulations, and protecting the rights of Miqnas, users, and companies.

We use contact data to send important operational notifications, such as account confirmation, application updates, security alerts, account deletion notifications, and service messages. We do not send direct marketing communications except with prior consent where required by law.

6. Legal Basis for Processing

Miqnas relies on the user’s consent when the processing is based on uploading the resume, analyzing it, creating the professional profile, enabling the Talent Database, using artificial intelligence, or sending direct marketing.

Miqnas may rely on the performance of a contract or taking steps at the user’s request to provide account services, subscription services, job application services, or company services.

Miqnas may rely on a legitimate and specific purpose such as Platform security, fraud prevention, keeping audit records, improving the service, defending claims, and managing the relationship with clients, provided that this does not prejudice individuals’ rights or privacy.

We may process data to comply with a legal obligation, or based on a request from a competent authority or a court order, or to protect vital interests or prevent a crime in accordance with the law.

7. Use of Artificial Intelligence and Analytics

Miqnas uses artificial intelligence and analytics tools to extract information from resumes, create summaries, suggest skills, assist companies in searching, and rank or compare the suitability between jobs and professional profiles.

Artificial intelligence results may be incomplete, inaccurate, or require human review. Therefore, they may not be considered a final hiring decision, a promise of obtaining a job, or a final rejection by Miqnas.

Miqnas undertakes, as far as possible, to reduce the data used in automated processing, remove or hide unnecessary identifiers, and not send more data than necessary to achieve the purpose.

Miqnas does not use resume or professional profile data to train a general model available to third parties without separate consent or a clear legal basis. Aggregated or anonymized data may be used to improve the quality of the Platform when it does not lead to identifying the individual.

The Job Seeker may review the information extracted about them, submit corrections, object to inaccurate information, or request deletion or modification of their data in accordance with this Policy.

8. Sharing and Disclosure of Data

We may share the Job Seeker’s data with the company to which they apply or with the company they agree to make their profile available to through the Talent Database or any similar feature.

Companies may be able to view or download the resume or professional profile only within the limits permitted by the Platform settings, the user’s consent, or the legal basis applicable to the company.

We may share data with service providers working on behalf of Miqnas, such as cloud hosting, databases, storage, email delivery, analytics, fault monitoring, electronic payment, and artificial intelligence services, to the extent necessary to operate the service.

We may disclose data to government, judicial, or regulatory authorities whenever legally required or necessary to protect rights or prevent misuse of the Platform.

We may transfer data as part of a merger, acquisition, sale of assets, or restructuring, provided that data protection continues under an appropriate privacy policy and users are notified when necessary.

Miqnas does not sell the personal data of Job Seekers as independent contact lists, and does not allow its use outside the purposes of recruitment and authorized services.

9. Transfer of Data Outside Qatar

Data may be processed or stored by service providers or data centers outside the State of Qatar. By using the Platform and consenting to this Policy, the user acknowledges the possibility of cross-border transfer of data to the extent necessary to operate cloud services, artificial intelligence, email, security, and technical support.

Miqnas takes appropriate measures to protect data during transfer, including data minimization, encryption in transit, access control, contractual agreements with service providers, and compliance monitoring.

10. Retention and Deletion Period

We retain data only for the period necessary to achieve the processing purposes described in this Policy, for the period required by law, or for the period necessary to protect rights, investigate misuse, resolve a dispute, or perform a contract.

The Job Seeker’s account, professional profile, and files remain stored as long as the account is active or until deletion is requested or consent for the relevant processing is withdrawn.

When account deletion is requested, Miqnas deactivates the account and removes public visibility or visibility in the Talent Database within a reasonable period. Miqnas may retain limited and necessary records for up to 90 days for the purposes of security, backups, auditing, fraud prevention, disputes, and legal obligations, then delete them or anonymize them unless there is a longer legal obligation.

Miqnas may retain aggregated or anonymized data that cannot be used to identify the individual for statistics and service improvement purposes.

11. User Rights

The user has the right to request access to their data, obtain information about the purposes of processing, correct inaccurate data, delete data when the purpose no longer exists or consent is withdrawn, object to unnecessary processing, and withdraw consent where consent is the legal basis.

We may request verification of the requester’s identity before implementing any privacy-related request. We may refuse or restrict the request when its implementation would violate the law, affect the rights of others, disclose trade secrets, or prevent us from complying with a legal obligation or defending a claim.

To submit a privacy request, contact privacy@miqnas.ai. The request must clearly include the email used in the account and the type of request.

12. Data Security

Miqnas applies appropriate administrative, technical, and organizational measures to protect data, which may include: permission control, separation between company accounts, encryption during transmission, private storage of files, temporary links for sensitive files, audit logs, access monitoring, backups, permission review, and periodic security testing.

No digital platform is 100% secure. Therefore, the user must protect their password, not share the account, immediately report any unauthorized use, and use a secure and up-to-date email account.

13. Data Security Incidents

If Miqnas becomes aware of a security incident that may cause serious harm to personal data or individuals’ privacy, it will take appropriate measures to investigate, limit the impact, and issue the necessary notifications to users or competent authorities in accordance with the law.

14. Children and Minors

The Platform is intended for persons who are of legal working age or at least 18 years old. Persons under 18 years of age are not permitted to create an account or upload personal data at all. If Miqnas becomes aware that it has collected a minor’s data without a legal basis, it may delete the account and related data.

15. Cookies

Miqnas uses cookies and similar technologies to operate sessions, security, remember preferences, measure performance, and improve the service. Details are subject to the Cookie Policy.

16. Changes to the Policy

We may update this Policy from time to time. We will publish the update date, and may send an appropriate notice if the changes are material. Continued use of the Platform after the update becomes effective means acceptance of the updated Policy, unless the law requires separate consent.

Third-party AI processing

When you choose an AI feature such as CV parsing, resume rewriting or translation, CV Review, Interview Preparation, or Upskill Plan, Miqnas sends the minimum CV, profile, and vacancy content needed to fulfil your request to OpenAI through Vercel AI Gateway. Direct identifiers are removed where the feature permits.

These requests are configured for zero data retention, are not stored by OpenAI, and are not used to train its models. We ask for your explicit permission before sending the data. You may decline and continue using services that do not require this processing, or withdraw permission later from workspace settings. Withdrawal does not undo processing already completed.

External opportunities and application materials

Saved external jobs are private. We may process job-post text, screenshots, generated application materials, and career evidence to provide the service and show useful patterns to you. We may use aggregated, privacy-protected trends to understand demand without revealing your individual activity. Saving never submits an application or contacts an employer, and we ask separately before introducing your profile to a particular company. You can delete available materials or request account deletion, subject to limited backup, security, dispute, and legally required retention.

Miqnas Talent Market Insights

Miqnas may produce de-identified, aggregated talent and hiring trend reports to improve its services and understand platform workforce signals. Reports do not include a name, contact details, resume, documents, individual profile, or employer identity; small groups are suppressed or combined. These are Miqnas platform signals, not official Qatar labour-force statistics.
